Instructions for oral presentations
The Speaker Ready Room will be situated in
the Press Room Auditorium, close to the
|
|
registration area. From this room all
presentations will be distributed to the different meeting rooms.
Opening times will be as follows:
Friday 3 June 16:00 to 18:00 hr
Saturday 4 June 08:00 to 17:00 hr
Sunday 5 June 08:00 to 17:00 hr
Monday 6 June 08:00 to 17:00 hr
You are requested to report to the Speaker Ready Room not later than
3 hours prior to the start of the session in which you are
presenting. There are five computers in the media centre. Please
thoroughly rehearse and check your PowerPoint presentation, so that
it is ready to be loaded onto the session CD disc for your theatre
session, in the media centre. It will not be possible to load your
presentation during the session. Apple computers are not available
at the RAI Congress Centre.
Only single projection using Powerpoint, single projection, is
available. Slide projectors or overhead projectors are not available
during the 81st EOS Congress. There will be no provision for laptops
to be used at the lectern.
Only PowerPoint presentations made in Microsoft Office XP or earlier
versions can be accepted. Use embedded pictures and animations only;
picture and animation links to the Internet or to other files will
not be accessible. The overall size of your presentation should not
exceed 40 Mb.
When preparing your PowerPoint presentation please use the windows
version of the PowerPoint program. Most PowerPoint presentations
will be made in a resolution of 1024 x 768 pixels. All video/data
projectors (beamers) at the congress centre can visualize these
resolutions without a problem. Use standard Windows fonts only. Font
size 28 is the smallest acceptable size. Accepted picture file
formats: .jpg, .gif, .tiff, .bmp, .html. Accepted audio formats:
Mpeg2 standard resolutions, QuickTime 6 or earlier version, Real
player 5 or earlier version.
Please save your presentation on your storage medium with your name
and date / time of presentation as follows: Katsaros 5 June
10:30.ppt, not just the name of the conference or Amsterdam. This
will prevent any confusion when loading the presentations on the
main computer.
To ensure that the presentations are well prepared, we strongly
advice you to bring your presentation to the Speaker Ready Room on
USB Stick, CD-Rom or Zip-diskette and check the presentation with
the preview technical staff at least 3 hours before the start of
your session. You may also bring your laptop for copying your
presentation to the main computer. Use of your own laptop during
your presentation is NOT possible.
Summarizing
- Only PowerPoint Presentations made in Microsoft Office XP or
earlier versions
- No single-, double slide and overhead projections
- No use of your own laptop during your presentation
- Come at least 3 hours before session start time to the Speaker
Ready Room
- Presentations are loaded on a session CD by the technician of the
media centre
- Do not forget to register for the 81st EOS Congress
(www.eurocongres.com/eos) otherwise you will not be allowed to
present
Notes for the speakers
15 minutes before the start of their session, all speakers are
encouraged to sit in the front row of the auditorium below the
lectern and to introduce themselves to the session chairman and to
the steward on duty. This will allow the session chairman to
introduce you properly to the audience and the steward to place your
'walking' microphone before you walk up to the lectern.
Ladies and gentlemen will be requested to wear a 'walking'
microphone. We therefore need a jacket or tie on which to attach the
microphone. We also need to secure a 'body pack' to the waistband
(or belt) of your skirt / trousers or you could place it in your
pocket.
Please remind that you should be available to answer questions
during the ''question time''. The program shows when discussion time
is scheduled.

Instructions for poster presentations
Size of the poster
The maximum size of your poster can be 147 cm wide x 97 cm high.
Please note that this is a landscape (horizontal) poster.

Preparing your poster
Text on the poster
- The poster should be readable from a distance of 2-3 meters. This
means that all lettering should be at least 8 mm high.
- Please prepare a title banner on your poster (see the dotted area
in the drawing above). The title banner should have a height of 10
cm and should state the title of the poster and the name(s) and
affiliations(s) of the author(s. Lettering on the banner should be
at least 20mm high. In the top right hand corner a photo of the
presenter should be included.
- Start the layout of your poster below the title banner, preferably
in two columns.
Graphs and diagrams
- Graphs and figures should be readable from a distance of 2-3
meters.
- They should be drawn with a minimum line width of 1 mm.
At the congress
General Information
- One poster board will be allocated for each poster presentation.
- A printed number on the empty poster board will identify where you
should hang your poster
Registration
- Please remember to register for the Congress in order to be
allowed to make your presentation (www.eurocongres.com/eos)
Location
- Posters will be presented in the Poster Area, which is located on
the first floor of the main auditorium building
Poster Mounting
- Posters should be mounted the first day of the congress
- Posters should be mounted with light double-sided tape. It is not
allowed to use pins!
- Assistance and material for mounting the posters will be available
from set-up time, at the poster desk in the poster area
Poster Viewing
- The poster area is open for poster viewing during all congress
days
- Authors must be present in the poster area to discuss their poster
on Sunday 5 June 2005 between 12.30 and 15.30 hrs.
Removing your poster material
- Material should be removed between 16.00 and 17.00 hrs on Monday 6
June.
- Material that has not been taken down by the author(s) will be
removed and destroyed by the EOS Meeting Office
Important notice If you fail to present your accepted poster you will not be allowed
to give any presentation (either poster or oral) at the next EOS
congress, which will be held in Vienna 2006. |
